Operations Assistant/Logistics Coordinator
Event Photography of North America Corporation seeks an Operations Logistics Assistant to assist the Processing Department Manager and Director of Operations in completing the client life cycle process. This role is instrumental in ensuring a seamless client experience by organizing the event details and ensuring that talent is equipped for each project.
Key Duties of the Operations Logistics Assistant:
Liaises with client to gather final logistical details, ensures proper hotel arrival/departure dates and books flights as needed per assignment.
Gathers and reviews final staff instructions, final shot list, and relevant documents from clients at least 4 weeks prior to the assigned project; problem solves and informs Manager/Director of any issues that could affect the positive outcome of a project or requires additional attention.
Coordinates with equipment department to determine the equipment needs and organizes the detail for shipping and/or transportation of equipment to and from the job venue.
Delivers job details and staff instructions (Job Sheet) along with relevant documents to assigned talent at least 2 weeks prior to assigned project.
Reminds talent of product delivery deadlines and communicates any special delivery instructions with Processing department.
Coordinates with Processing department to ensure delivered product is received from talent and delivered to the client.
Reminds talent to submit invoices and receipts in a timely manner to accounting and that invoicing matches up in the system.
Position Type and Expected Hours of Work
Results-driven, flexible schedule within the scope of a 20-hour minimum work week. Minimum 4-hour blocks of time throughout the week preferred. Typical office hours are 8:30 am – 5:30 pm Monday-Friday. Training and trial period expected. Reports to Director of Operations and Client Relations.

Intermediate level skill in MS Office, Excel, Word, PowerPoint and G-Suite for Business.
Familiarity with CRM. Experience with Zoho a plus.
One to three years of experience in a similar role(s).
Preferred: Knowledge and familiarity of the meetings and hospitality industry, photography and videography industry.
